Collections Support Specialist

PURPOSE/SCOPE

The Collection Support Specialist fields incoming customer requests via phone and email for invoice copies, statements and other supporting information to allow customers to pay in a timely manner.  This role supports the credit and collections team by processing monthly reports and spreadsheets for internal and external customers.  The support specialist also handles a number of administrative tasks for the team such as pulling check copies, maintaining office supplies, notarizing documents and working with outside vendors.

 

GENERAL RESPONSIBILITIES

  • Answering incoming calls from customers; may include processing credit card payments and requesting customer master updates
  • Responsible for submitting accounts to third party collection agencies on behalf of the collectors
  • Create and maintain month end statements & spreadsheets for various customers
  • Daily reconciliation of the number of invoices that have been sent to our outside vendor
  • Assist supervisor and manager with projects and reports
  • Maintain department supplies
  • Support collections specialists with administrative tasks such as printing and emailing invoices, repair orders and other documents
  • Reconcile monthly billing statements from outside collection agencies

 

REQUIRED EXPERIENCE & EDUCATION

  • High school diploma or equivalent
  • Proficient in Microsoft Office 
  • Minimum two years’ experience in a business to business customer contact environment

 

REQUIRED INTERPERSONAL & BEHAVIORAL SKILLS: 

  • Strong written, verbal and oral communication skills
  • Demonstrates sound business judgment
  • Strong attention to detail an organizational skills
  • Ability to recognize potential issues
